myLearners Privacy Collection Notice

R&L Services Victoria Pty Ltd (VicRoads, we, us or our) collects personal information through the myLearners app to provide and administer the myLearners service and related learner driver programs.

What information do we collect?

Depending on how you use the app and whether you are registered as a learner or supervisor, we may collect:

• your name, email address, user ID and other account information;
• authentication and security information used to verify your identity and secure your account;
• information about learner-supervisor relationships, including supervisor contact details and invitations;
• learner logbook information, including driving hours, driving conditions, learning progress, trip verification status and declarations made by learners and supervisors;
• information about supervised driving sessions, including trip details, start and end times, duration and day and night driving hours;
• location and route information recorded during supervised driving sessions including GPS location and route information, timestamps and other information necessary to verify driving sessions, calculate driving hours and help detect misuse of the service; and
• device, notification and technical information required to operate, maintain and secure the app.

Location information is only collected while a learner is actively recording a supervised driving session. It is not collected when using other features of the app.

Why do we collect your information?

We collect, use and disclose your personal information for the following purposes, and other purposes reasonably related to those purposes:

• provide, operate and support the myLearners app;
• establish and manage learner and supervisor accounts;
• record, verify and manage learner logbook entries and driving hours;
• facilitate learner-supervisor interactions and trip verification;
• support learner driver education and learning progress;
• investigate suspected misuse of the app and learner logbook;
• maintain the security, integrity and reliability of the app and related systems; and
• perform our functions and activities and comply with legal and regulatory obligations.

Information relating to learner logbook entries, driving hours, supervised driving sessions, learner and supervisor declarations and trip verification is collected and used to administer learner logbook requirements and support road safety and driver licensing functions under the Road Safety Act 1986 (Vic) and the Road Safety (Drivers) Regulations 2019.

What happens if you do not provide information?

You are not required to provide personal information. However, if you do not provide the information requested, or do not grant permissions required for particular app features, we may be unable to provide some or all of the myLearners services. For example, if you do not grant location access, you will not be able to record or submit supervised driving sessions through the app.

Who may receive your information?

We may disclose your personal information for the purposes described above to:

• learners and supervisors connected to your account for the purpose of administering and verifying learner driving sessions and logbook entries;
• service providers who assist us in operating, hosting, supporting and securing the app and related systems;
• the Department of Transport and Planning for road safety, licensing, regulatory or administrative purposes;
• to other government agencies, law enforcement agencies, other persons or organisations where authorised or required by law or with your consent.
